The SMART Stakeholder management application is designed for all sizes of organisation and their stakeholders. Which means collecting, categorising, updating and communicating is as easy as it is functional. Individual user permissions are configurable to ensure appropriate access for users based on their role within the organisation.
-
Managing accounts
Individual stakeholder accounts are very easy to not only create but to update. Contents such as contact details can be updated effortlessly to ensure your records are always up to date.
-
All stakeholders in one place
Having all contacts in one online system streamlines the running of your organisation; however it doesn’t mean that personal relationships with stakeholders are compromised. With ownership of a stakeholder you can control the user permission settings and choose what information is available to others.
-
Calendar view
Calendars are personal and displayed on an individual stakeholder format which enables you to monitor individual involvement and activity. Who is working on what and for when? See when meetings are planned for. Stay in front of deadlines.
-
Communication traffic analysis
SMART reporting gives you the ability to monitor engagement history of an individual stakeholder. You can monitor emails read and click through rates. This also gives you a good idea of the interests of certain stakeholders, what topics they are involved in; would they be suitable for your project?
-
Self update forms
Stakeholders can also be encouraged to update their own information with SMART. Links can be sent out with emails that redirect stake holders to a web form for them to fill out their details which are then fed into SMART in real-time completely securely.
-
Manage stakeholder lists
Stakeholder lists gives you the ability to control collections of stakeholders whether it’s for use as mailing lists or to invite to an event. These lists are built on existing variables within SMART. This could be type of stakeholder organisation, or a specific role within many organisations. Stake holder lists can also be built on numerous factors, for example; stakeholders with e-mail contact details who work within charitable organisations. Lists can then be saved and used again whenever they are needed.
-
Easy classification
Tags are an easy way to find the stakeholders you want in the SMART system. Tags can be placed on any list of stakeholders and are user controlled so you can create a new tag based on anything you like and apply it to anyone you have access to. The newest tags are displayed on the front page of SMART to further provide you with a current overview of stakeholder activity.
-
View communications and responses
See a breakdown of all recent communications from your organization as soon as you select the communications button. The number of mails opened and the number of links clicked are also displayed clearly. Mails can be created, sent, saved and reviewed from here. Mails can even be planned and be sent automatically by SMART at a later date.
-
Event planner
The calendar view enables you to stay in touch with everything that is happening with your organisation. See scheduled meetings and who is attending? Find space to host your event and use the calendar in conjunction with stake holder lists and tags to send invites. Responses are shown just by clicking the event.
-
Project planning
SMART’s project planning ability is a gleaming example of its capabilities as an organisational application. The tools provided by SMART enable you to do achieve an impressive amount on their own, but when they are used in conjunction with each other that SMART really comes into its own. SMART enables you to plan a project with calendar view and look at who would be well suited to working on it with the stakeholder mapping. Then you can tag your map results and create a mail list to contact the relevant stakeholders.
-
Uploading stakeholders
Loading stakeholders into SMART is made infinitely easier by its ability to register information from Microsoft office. This means any Excel databases or Word documents can be imported straight into SMART and categorized. Documents can also be attached to a stakeholder to provide more detailed information on particular people.
-
Key stakeholders
Key stake holders can have a front sheet document attached to them containing key details of your organisations/individual relationship with them. This can also contain important information about previous work and a photograph.
